Luggage Delivery in Japan: How to Send Bags Between Hotels and Airports

Changing hotels in Japan does not always mean taking your large suitcase onto the next train. Domestic luggage delivery, often called takuhaibin, can move it to a later stop while you travel with a smaller bag. Yamato's service name is TA-Q-BIN.

The important question is not simply whether delivery exists. It is whether your bag can be accepted at both ends and reach you when you need it. This guide uses Yamato's published procedures as a concrete example; other carriers and individual hotels may have different arrangements.

Choose delivery or storage first

Your planWhat to arrange
Collect your bag at a different hotelDelivery to a hotel that has agreed to receive it
Collect it before a departing flightAirport delivery to the correct participating collection counter
Leave it for a few hours and return to the same placeLuggage storage or a coin locker

JNTO's luggage guidance describes airport and hotel delivery options, but availability is not universal. For short-term storage, use our coin locker guide.

Send a suitcase from one hotel to another

Step 1: Get the receiving hotel's agreement

Contact your destination hotel before handing over the bag. Ask whether it accepts luggage before check-in, how early it can arrive, whether storage costs extra, and where and when you can collect it. Tell the hotel your reservation name and check-in date so it can identify your bag.

Yamato's hotel and ryokan FAQ makes acceptance conditional on the accommodation's agreement. It also advises dispatch before the local cut-off at least two days before check-in, or three days for some destinations. Do not assume next-day delivery will fit every itinerary. For the hotel-to-hotel procedure described here, Yamato does not let you specify a delivery time or time window. Confirm the expected delivery date and how the hotel will receive the bag.

Step 2: Confirm the dispatch deadline and arrival plan

Ask your current hotel's reception whether it can arrange delivery, which carrier it uses, and the latest time you must hand over the suitcase and complete the paperwork for dispatch that day. Yamato's next-destination guidance explains sending from participating hotel and tourist-facility counters. A reception desk is not automatically a shipping counter.

For Yamato deliveries to accommodation, the Japanese procedure plans arrival by the day before your stay. Check the actual route and sending deadline with staff. If your current hotel cannot arrange dispatch or you miss its dispatch cut-off, ask about a nearby carrier office or participating agency. Confirm its deadline before making the trip.

Example plan: Monday dispatch → Tuesday expected hotel delivery → Wednesday check-in and collection. Use this schedule only if staff confirm the route and dispatch cut-off and the hotel agrees to Tuesday arrival. It is an illustration, not a next-day delivery guarantee; some routes need earlier dispatch.

We change hotels tomorrow. Can we just send the suitcase this morning and expect it there when we arrive?

Sora

Ask before packing it for delivery. If the timing does not work, keep it with you or send it to a later hotel that has agreed to receive it. Plan what you need until that later stop.

Step 3: Prepare the destination details and shipping form

Have the receiving hotel's full name, postal address, postal code, and contact details ready, together with your reservation name and check-in date. Showing the hotel's own address page helps avoid choosing another branch with a similar name. Ask staff how to enter your reachable contact number.

The shipping form is a waybill, or 送り状 (okurijō). Yamato's waybill guide permits English and explains sender, recipient and contents fields. Describe what is inside, such as clothes, rather than only writing “suitcase.” Use the form or digital process provided for your particular service; hotel and airport shipments need different details.

Step 4: Separate what you will keep with you

Pack your small bag for the whole period until collection, including necessary medicine, a change of clothes, toiletries, your phone and charger. This is a planning suggestion, not a requirement to buy another bag.

Keep your passport, cash and payment cards with you: Yamato lists them among items that cannot be sent. Check restrictions before packing batteries, electronics, aerosols or other potentially restricted contents; conditions can depend on the item and transport method.

Step 5: Pay, keep the receipt, and collect at reception

For delivery to a hotel, arrange payment when sending; do not assume the receiving hotel will pay the courier for you. Check the accepted payment methods and final charge at your dispatch point. Yamato's sending and payment guide explains differences between locations.

Keep the waybill receipt and tracking number in your small bag. At the destination, ask reception for the delivered luggage under your reservation name. If it has not arrived, use Yamato's English tracking page and ask the carrier for help using that number. For loss or damage, see Yamato's problem-reporting guidance.

Airport delivery: check the direction

Hotel to airport: arrange it before your departure day

Yamato's airport procedure FAQ requires dispatch at least two days before departure, or three for some areas, so the bag reaches the airport by the previous day. Check the actual sending cut-off. Collection is on your departing flight's date; this is not general airport storage.

Give staff your airport, terminal, flight number, departure date and time. Confirm the collection counter and its opening hours, especially for an early flight. Use the Airport TA-Q-BIN counter information and bring the sender's waybill receipt. Check any additional collection documents with your counter.

Allow time to collect the suitcase and then take it to your airline's baggage check-in. Courier delivery does not check it in for your flight. If counter hours cannot fit your flight, make another luggage plan before sending.

Airport to hotel: same-day delivery is conditional

Before handing over your bag, confirm that your hotel will receive it under your reservation name and check-in date. At the arrival airport, ask a participating delivery counter what is available for your destination and arrival time. Yamato's Haneda and Narita guide offers limited same-day options with specific areas and drop-off deadlines. These do not apply to every airport or hotel, or to the reverse journey to a departing flight.

If the suitcase arrives at the hotel tonight, can we go straight out sightseeing?

Sora

Yes, if the counter confirms that plan and the hotel can receive it. Keep anything you might need before collection with you, even for a same-day service.

Check cost, size and payment before committing

There is no single nationwide suitcase price. Yamato's standard TA-Q-BIN rates are per parcel, one way. Measure height + width + depth in centimetres and check the weight: the higher applicable rate band is used. For example, a suitcase totalling 140 cm and weighing 22 kg uses Size 160 because that band's weight limit is 25 kg.

Ask your dispatch point for a current total quote for each bag, route and service. Airport-bound delivery includes an airport handling fee; compare the total, not just the standard delivery rate.

Yamato's suitcase FAQ gives a maximum total of 200 cm across three sides and 30 kg. No single side may exceed 170 cm, or 100 cm if the parcel cannot be turned upside down. Let staff confirm eligibility; convenience-store acceptance can be more restricted. A fully closed suitcase needs no special cover or box for this service, although its exterior can get scratched or marked.

Common questions before sending

Can I send a bag to an Airbnb or a staffless hotel?

Do not assume so merely because it has an address. Ask the host and carrier how someone will receive it. Yamato's Haneda/Narita service does not deliver to unstaffed accommodation without a receiver. A carrier-office collection option may be available; confirm the location, documents and opening hours first.

Can I send it past an overnight stop to a later hotel?

Ask the later hotel to approve the receiving date, then check the carrier's permitted date range. Delivery is not unlimited luggage storage. Pack for every intervening night and do not send a bag to a hotel you will leave before it arrives.

What if delivery is delayed?

Traffic and severe weather can affect delivery. Track the bag and contact the carrier if the timing threatens your itinerary; involve the receiving hotel too. Do not assume an address change or urgent redirection will be automatic. Keep essential items with you from the start.

Before handing over your suitcase

  • The destination has agreed to receive it under your reservation name.
  • The carrier has confirmed the route, sending deadline and arrival plan.
  • You know the total charge, payment method and contents restrictions.
  • The suitcase is fully closed, with any zippers or fasteners secured.
  • Your small bag covers the time until collection.
  • You have the receipt and know where and when to collect the suitcase.
